User Groups

Organize hosts into groups so visitors only see relevant hosts based on the selected visitor type. User Groups help keep the host list streamlined, especially useful for locations with many employees. Once linked to a visitor type, only hosts in that group will appear during sign-in. 


⭐ Note:  User Groups are available only on the Enterprise Plan.


Accessing User Groups

1. Navigate to the Users tab in the dashboard. 

2. Click the User Groups sub-tab at the top.



How to Create a User Group

1. Click Add User Group in the top-right corner. 



2. Enter a Group Name and an optional Description. 

3. Click Save. The new group will appear in the list view. 



The User Groups list displays:

  • Group Name (click to view/edit members) 

  • Number of Members 

  • Actions

    • Add Members 

    • Edit (update name or description) 

    • Delete (only if the group is not assigned to any visitor type)


Adding or Removing Members

To manage group members:

1. Click Add Members or select the Group Name



2. Use the popup window to: 

  • Search and add hosts 

  • View current members 

  • Search within members 

  • Remove hosts 




Changes are saved instantly, so you can update group members quickly and easily.


Assigning a User Group to a Visitor Type

Once a User Group is created, link it to a Visitor Type: 

1. Navigate to Locations and select the desired location. 



2. Click Visitor Types in the left panel. 



3. Select the visitor type you want to update. 

4. Scroll down to the User Group dropdown. 

5. Select the desired group. 

6. Click Update to save your changes.




Where User Groups Apply

Once assigned to a visitor type, the group limits the visible host list in: 

  • Visitor Log 

  • Pre-registration 

  • Pre-fill flows 

  • Contactless Sign-In 

  • My Visitly → My Upcoming Visitors 

  • Host Web View → My Upcoming Visitors 

  • iPad Sign-In 

  • My Visitly App → Create Pre-registration


Deleting a User Group

⭐ Note:  User Groups can only be deleted if they are not assigned to any visitor type.

1. Unlink the group from all visitor types. 

2. Click the Delete button in the User Groups grid.
