Co-Hosts for Pre-Registrations

With Visitly, you can now add multiple hosts to a visitor’s pre-registration, ensuring everyone involved stays updated and prepared. The Co-Hosts feature allows you to add up to 9 additional hosts in addition to the primary host. All assigned hosts receive the same notifications, making coordination seamless. 


Why Use Co-Hosts?

  • Avoid miscommunication about visitor arrivals or changes

Perfect For:

  • Interviews: Notify all panelists and recruiters when a candidate checks in. 

  • Events: Keep multiple organizers in the loop for product launches, press briefings, or large gatherings. 

  • Client Meetings: Ensure all relevant team members (sales, technical, and leadership) are prepared.


How To Add Co-Hosts

1. Navigate to the Pre-Registration page and click the Pre-Registration Visit button. 

2. Enter visitor details and select the primary host. 

3. Click the Co-Host(s) field and enter up to 9 names or email addresses. 

4. Save the pre-registration.


Notifications

Once a pre-registration with Co-Hosts is saved, all assigned hosts will receive the same notifications as the primary host when: 

  • A pre-registration is created 

  • A pre-registration is updated 

  • A pre-registration is cancelled 

  • A visitor checks in 

  • A visitor checks out


Notification Channels

  • Email: All Co-Hosts receive the same email alerts as the primary host. 

  • Slack: If Slack notifications are enabled and integrated, Co-Hosts receive real-time alerts in Slack.


Displaying Co-Host Names in Custom Email Templates

If you'd like Co-Host names to appear in your outgoing email notifications:

Add the shortcode: CopyEdit {{coHostNames}} This will display the names of all assigned Co-Hosts in notifications.

1. Navigate to Locations > Notification Template for the desired location.

2. Click Add New to create a new template.

3. Add the shortcode: 

  •  {{coHostNames}}

 This will display the names of all assigned Co-Hosts in notifications.
