Pre-Registration Notifications

Learn how to set up, manage, and customize pre-registration notifications in Visitly.



Keep visitors and hosts informed about pre-registration details with Visitly’s customizable notification system and ensure a smooth communication experience.


Enable Pre-Registration Notifications

1. Navigate to the Locations page and select  Edit on the desired location.

2. Click Notifications in the left-hand panel.

3. Toggle the Status option to activate or deactivate pre-registration notifications for visitors or hosts.


Adding A New Notification

1. Go to the Notifications page for the location you want to update.

2. Click Add New in the top-right corner.

3. Select the Event you want to trigger the notification.

  • Pre-Registration Created

  • Pre-Registration Cancelled

4. Choose the Recipient

  • Host: The person expecting the visitor.

  • Visitor: The individual arriving on-site.

  • Custom: A person not listed as a Visitly user. If selecting Custom, enter their email address.

  • User: Registered users or employees in Visitly. If selecting User, search for and choose their name.

5. Select the Visitor Type (leaving this blank sends notifications for all visitor types).

6. Choose a Channel for the notification:

  • Email

  • SMS (Note: SMS is an add-on feature)

7. Click Save.


  Note:  Visitly provides default email templates with basic pre-registration details, including:

  • A greeting message 

  • Visitor arrival date and time 

  • Contactless sign-in URL

  • Link for visitors to pre-fill their information before arrival


Customizing Pre-Registration Notification Templates

You can create custom templates for pre-registration notifications to include specific details.


1. Navigate to Locations > Notification Template for the desired location.

2. Click Add New to create a new template.

3. Choose the Notification Method: Email or SMS.

4. Enter Details:

  • Template Name: This must match the event name of the notification (e.g., Pre-Registration Created).

  • Description

  • "From" Display Name: This is the display name, the email address will always be noreply@visitly.io.

  • Subject Line

  • Notification Body 

Use the formatting toolbar in the email editor to customize the email's font and text, add attachments, insert links, upload images, and more directly within the textbox.

5. Click Save.


  Tip:  Use the Short Codes panel on the right to easily insert tokens into the template, such as the visitor’s name, check-in time, or sign-in URL. Scroll to the bottom to find tokens specific to pre-registration notifications.
