Manage Watchlist

Learn how to create and manage visitor watchlists and set up notifications for watchlist hits using Visitly.



Strengthen your business security with Visitly’s Visitor Watchlist feature. Easily maintain a Global Watchlist across all locations or customize a Local Watchlist for specific sites, ensuring seamless and secure visitor management. To set up a global watchlist, visit our Global Watchlist guide.


Enable A Location Watchlist

1. Go to the Locations page and click Edit on the desired location card.

2. Toggle the Enable Watchlist Check button to activate or deactivate visitor checks against the Watchlist.



Adding A New Location Watchlist

1. Navigate to the Locations page and click Edit on the desired location card.

2. Click the Location Watchlist tab at the bottom of the left panel. 

3. Select Add New in the top-right corner to create a new local watchlist.

4. Choose the Watchlist Group Type you want to add:

  • Visit Field

  • Face Picture

5. Complete watchlist rules details.

For Visit Fields:

  • Choose a Field Name (e.g., Full Name) to specify the attribute to monitor.

  • Enter the corresponding Value that will trigger a watchlist match.


For Face Picture:

  • Click the Upload Face Picture button to upload an image of the person you want included in the watchlist.


6. Add a brief Rule Description to clarify the purpose of the rule, if needed.

7. Click Save to activate the new watchlist rule.


Set Up Watchlist Notifications

1. Go to the Notifications page for the location you want to update.

2. Click Add New in the top-right corner.

3. Select the Event you want to trigger the notification (e.g., Watchlist Hit ).

4. Choose the Recipient.

  • Host: The person expecting the visitor.

  • Visitor: The individual arriving on-site.

  • Custom: A person not listed as a Visitly user. If selecting Custom, enter their email address.

  • User: Registered users or employees in Visitly. If selecting User, search for and select their name.

5. Select the Visitor Type (leaving this blank sends notifications for all visitor types).

6. Choose a Channel for the notification.

  • Email

  • SMS (Note: SMS is an add-on feature.)

7. Click Save to apply your changes.


Review Visitors On The Watchlist

Visitors will be flagged for review if they match the Watchlist criteria during sign-in.  


1. Navigate to the Visitor Log and click Visitor Details.

2. Review the visitor’s information, Approve or Decline their entry, and add relevant notes for record-keeping.
